Collections Department Assistant & Administrator Full-Time

 

Overview & Responsibilities

Our Collections Department is looking for a new assistant to facilitate the collections of the sold lots following the auction. This is a busy, hands on position that would suit a recent graduate looking for a first step into the auction world or someone who enjoys logistics and manual handling. In addition, there will be a small amount of VIP client administration included in the position. 

Main Duties include:

Collections Department Assistant

  • Processing the collections procedure for all lots, sold or unsold.
  • Facilitating collections of sold lots to buyers/couriers and unsold lots to vendors/couriers.
  • Preparing collections for weekend collection days.
  • Creating and keeping an up-to-date inventory of the collections room
  • Chasing uncollected lots
  • Keeping collections room tidy and clean
  • Ordering packing materials
  • Facilitating packing and shipping requests and taking payment for these services 

VIP Client Administrator

  • Drawing up contracts for transferred items
  • Receiving deliveries and checking off items
  • Obtaining valuations from specialists
  • Ensuring safe storage and location guide is kept up to date
  • Sending contracts for signature and allocating items to correct auctions once authorised
  • Chasing unauthorised items in storage
  • Keeping correct records of deliveries and transfers

Skills & Qualifications

  • Bachelor’s degree or equivalent preferred but not essential
  • Experience in manual handling and ability to lift heavy objects
  • Ability to work well under pressure within a fast-paced environment
  • An all-round team player who is happy to contribute to assist and enable the success of the other departments
  • Excellent communication skills with exceptional attention to detail

This is a full-time position 9am-5.30pm Monday to Friday, with some possible weekend work if required.
