Accounts Administrator

Roseberys are seeking a diligent and fastidious accounts administrator with exceptional attention to detail. This role will be based within the accounts department and will assist with daily accounting and office tasks focussed around the auction schedule. The role has good scope for advancement within the department for the right candidate.

 

Overview & Responsibilities

This role can be a full or part time position and is based in-house within Roseberys offices.

To work closely with our Accounts team in order to facilitate the smooth daily running of the accounts’ office. This role would suit an organised individual with AAT level 3 or studying towards it, and who has a head for numbers and detail.

 

Main responsibilities include assisting with:

Accounts Administration

Auction sale reconciliation

Bank Reconciliation

Purchase Ledger Invoices

General accountancy duties including reconciling credit card statements, petty cash reconciliation

Taking payments over the phone and entering payments from Bank Account and Sagepay

Entering results on auction day

Keeping sales invoice spreadsheet up to date

Emailing statements and sending out payments to vendors

Chase buyers for payment

Process re-charges, VAT refunds

Maintaining the department inbox and responding to customer queries

Answering the phone and answering queries

Pre and post auction administration and reconciliation for departments

Taking deposits and refunding

General office admin tasks filing etc.

Assisting the head of Accounts as required

 

Skills & Qualifications

AAT level 3, or currently studying towards this.

Previous experience in an administrative role and basic knowledge of bookkeeping

Good level of computer competency, experience in Sage 50, Xero and Microsoft Navision an advantage

Ability to work well under pressure within a very fast paced environment

An all-round team player who is happy to contribute to assist and enable the success of the other departments

Excellent communication skills with exceptional attention to detail

Previous experience within an auction house or an interest in auctions would be beneficial but not essential

Prints & Multiples Department Cataloguer

Roseberys are seeking a diligent, enthusiastic and passionate person to join our Prints & Multiples department. This is a full-time position and based in-house within the auction rooms. This is a busy and hands on role and the perfect candidate would have some previous experience in the field of cataloguing and the desire to grow their skills and knowledge within this area.

Overview

This position is to provide support to the Head of Department in all aspects of the consignment, cataloguing and auction process to enable the continued growth and success of the department.

Responsibilities

  • Write catalogue descriptions for both Prints & Modern Home auction print lots
  • Assisting with valuation enquiries in person and via email
  • Corresponding with clients pre and post-sale
  • Arranging delivery and collection of items
  • Providing assistance and support to the head of department as required
  • Assisting with catalogue production: co-ordinating with the photographer to ensure all images are done and correct, liaising with head of department and assisting with deadline checks and assisting to ensure deadlines are met
  • Writing catalogue notes, undertaking research where required
  • Assisting with condition report requests
  • Assisting with auction enquiries
  • Assisting with setting up the auction; liaising with the head of department about star lots

Associate Specialist: Prints & Multiples

 

Roseberys are seeking a new member of the team to take a leading role in the development and growth of the Prints & Multiples department; working closely with Head of Department and general valuations team to drive sales, whilst engaging new and existing buyers and consignors to Roseberys.

Responsibilities

  • Undertake valuations both in person, via email and at client houses and business for Prints & Multiples
  • Securing consignments to increase turnover and income for the department and selling sales for the Prints & Multiples Department. Sourcing new business through pro-active target marketing, cold calling, relationship making and building and maintaining existing client relationships.
  • Actively manage client relationships in order to enhance client loyalty and generate business; support key client activity in particular focusing on generating new networks of clients/collectors to Roseberys
  • Active participation with the Prints & Multiples community – attendance at social and art world events e.g. gallery and museum openings; increasing the network of contacts and relationships within this market
  • Prepare and deliver valuation proposals to secure consignments, providing valuations both offsite and within the auction house
  • Research and write catalogue entries
  • Lead the catalogue production process and adhere to strict production deadlines
  • Providing support where required for the head of department
  • Lead the exhibition set up. Actively participate in all presale exhibitions and events, to cultivate bidders, promote and sell the sale. Develop, track and communicate client interest in lots; and execute bids at sale
  • Undertake condition reports
  • Viewing responsibilities helping clients at the exhibition; speaking to clients about the property;
  • Perform valuations for auction and probate where required in association with the Professional Services Department
  • Assist on auction days as required alongside on viewing and auction days for other departments as required.
  • Catalogue and condition reporting assistance where required for Modern Home sales.

Skills & Qualifications

  • Bachelor’s Degree or equivalent
  • Minimum 4 years relevant experience within the field of Prints & Multiples, auction house experience preferred but not essential
  • General knowledge about a broad range of values within the discipline ranging from £200-£200,000
  • Some previous experience at generating business from both private and trade sources and increasing turnover within similar field
  • Ability to maintain composure in a stressful environment and meet deadlines

Modern British & 20th Century Art Department Cataloguer

Roseberys are seeking a diligent, enthusiastic and passionate person to join our Modern British & 20th Century Art department. This is a full-time position and based in-house within the auction rooms. This is a busy and hands on role and the perfect candidate would have language skills, an interest in urban and contemporary art, some previous experience in cataloguing and the desire to grow their skills and knowledge within these areas.

Overview

This position is to provide support to the Head of Department in all aspects of the consignment, cataloguing and auction process to enable the continued growth and success of the department.

Responsibilities

  • Write catalogue descriptions for both Modern British & 20th Century Art & Modern Home auctions as required
  • An interest in urban and contemporary art with a view to working towards managing this section of the auction
  • Assisting with valuation enquiries in person and via email
  • Pre and post-sale administration in-house and with clients
  • Liaising with experts and specialists to obtain authentication (predominantly French and Italian)
  • Providing assistance and support to the head of department as required
  • Writing catalogue notes and undertaking research

Saleroom Porter & Assistants

 

Roseberys are seeking a number of new saleroom staff to join our expanding team.

We have opportunities within the Paintings & Prints department, Works of Art, and Furniture departments.

 

These are excellent entry level roles to learn about all aspects of the auction world, specifically within a friendly and knowledgeable team.

 

Main Duties being:

 

  • Moving and lifting auction items
  • Receiving deliveries into the saleroom, unpacking items
  • Ticketing items and checking inventories against items received
  • Clearing reception of items being delivered for sale
  • Setting up the auction rooms for viewing
  • Ensuring the auction rooms, public and outdoor areas are kept clean and presentable
  • General auction and viewing day duties
  • Assisting clients with clearing items
  • Post-sale unsold lot management, re-entering of unsold lots in following auction
  • Management and co-ordination of storage areas
  • Moving items into relevant storage areas
  • Photography and editing of lots for the website and catalogues

Asian Arts Department: Administrator, Sale Co-ordinator & Junior Cataloguer

Roseberys are seeking a diligent, enthusiastic and passionate person to join our Asian Arts Department team as an Administrator, Sale Co-ordinator & Junior Cataloguer. This is a full-time position and based in-house within the auction rooms. This is a busy and hands on role and the perfect candidate would have a proven passion for Asian Arts and a desire to increase their knowledge within this field.

This position is to provide support to the Head of Department in all aspects of the consignment, cataloguing and auction process to enable the continued growth and success of the department.

  • Producing valuation reports and receipts
  • Corresponding with clients pre and post-sale
  • Arranging delivery and collection of items

Asian Art Specialist 

Roseberys are seeking an experienced, well-rounded, knowledgeable, passion and pro-active specialist to join our growing Asian department. This is a full-time role and an exciting opportunity to join a successful and well-established department within the auction house. 

The job role is as follows:

To take a leading role in the development and formation of the bi-annual Chinese, Japanese & South East Asian Art auctions; working closely with the head of department to drive the sales whilst engaging new and existing buyers and consignors to Roseberys. 

Responsibilities

Business Getting

  • Responsible for securing consignments and nurturing clients and buyers for the Asian Art department
  • Actively manage client relationships in order to enhance client loyalty and generate business; support key client activity in particular focusing on generating new networks of clients/collectors to Roseberys
  • Active participation with the Asian Art community – attendance at social and art world events e.g. gallery and museum openings; increasing the network of contacts and relationships within this market

  • Assist with condition reports

Marketing

  • Co-ordinate with the marketing department for aspects of pre and post-sale communication and develop Roseberys’ Asian Art social media channels

Mentorship

  • Manage the departmental internship programme
  • Mentor the junior members of the department, providing support and guidance on matters related to expertise and client relationships

Skills & Qualifications

  • Minimum of 5 years experience within the field
  • Established track record of generating new business within the Asian art market
  • Proven network of contacts and ability to form new business relationships
  • Up to date market knowledge
  • Experience and knowledge of Chinese advertising pathways 
  • Fluent in Mandarin 
  • Auction house experience preferred but not essential
  • Previous experience of mentoring junior staff or interns

Internship Programme

Roseberys Auctioneers & Valuers, are pleased to offer an internship programme with applications accepted throughout the year. You will have access to multi-disciplines including Front of House & Valuations, Marketing, Asian & Islamic Art, Jewellery, Decorative Arts & Modern Design, Prints & Multiples, Old Masters, Modern British, Impressionist & Modern, Furniture & Works of Art.

Tasks:

  • Interact with clients and facilitate all phases of the sales process.
  • Answer telephones, direct calls, take messages and provide information to prospective vendors and purchasers.
  • Liaise with clients at front of house and assist with clearing items.
  • Collaborate with colleagues to assist in office administration.
  • General administrative duties
  • Assist with social media promotion and marketing
  • Unpack deliveries, assist with storage and stock assignment and management.
  • Assist with the setting up of public views and auctions.
  • Carry out research and compiling data for the art market.

Commitment:

3 month programme consisting of 2 to 3 days a week from 10am to 4pm with one hour for lunch, ideally the same consecutive days each week £15 per day to cover travel and subsistence costs.

Viewing staff

Roseberys are seeking part-time freelance viewing staff. Auction previews are a unique opportunity for interested individuals to gain knowledge about the fine art and antique auction world.

The job role is as follows:
Service quality and customer satisfaction are fundamental factors at Roseberys Auctioneers. This is fundamentally a Customer Service position and responsibilities include largely assisting on the showroom floor. This includes familiarising yourself with the lots on display and their locations to then be able to help clients view particular items, moving and or lifting goods with great care, being vigilant with the protection of lots and occasionally assisting with the set-up of items.

Requirements are:

  • Excellent customer service skills, engage with clients and ask if they need assistance
    • Good verbal communication skills
    • An interest in art and antiques
    • Business attire required

You will be presentable, courteous and professional. Have excellent communication and interaction skills. You will have good timekeeping and can work on your own as well as part of a team.

Live auction bidding clerk

Roseberys are looking for part-time freelance auction clerks to manage the live webcast online bidding systems during our specialist auction sales.

The job role is as follows:
An online auction clerk’s role is to ensure that a webcast auction runs smoothly on Roseberys premises during auction days. The clerk must be able to work quickly and accurately to relay the online bids delivered via the auction systems we use. They must also be able to record accurately all room bids onto the system for online bidders to view. The clerk will also help with auction set-up, working alongside sale day technicians to make sure that both audio and video are working correctly while also helping with the organisation of the auction floor.

Roseberys will provide full training on how to clerk an auction and ensure that the person is equipped with a broad range of clerking skills, as well as an understanding of the terminology used and how a live auction operates.

 

This is a great role for someone who wants to learn more about the fine art auction world.
